1. General
1.1 This policy describes how Viducon ApS collects and processes personal data ("Personal Data").
1.2 We only collect personal data in cases where it is relevant to us in relation to your activity with us. When collecting, processing and using your personal data, we always comply with all relevant statutory provisions. We will only retain your personal data for as long as we are either subject to a legal obligation to do so, or for as long as it is relevant in relation to the purpose for which it was collected.
2. The Data Controller
2.1 The data controller for the collection, processing and use of your personal data on viducon.dk is Viducon ApS, Vermlandsgade 51, 1st floor, 2300 Copenhagen S, Denmark – CVR 35675825.
2.2 We collect information and process your personal data when you do the following:
– Submit an enquiry via our website, for example via the contact form or by booking a demo.
– When you place a request, we collect ordinary personal data that you provide yourself, such as name, phone number, company and email.
3. Contact us with questions or book a demo
3.1 If you contact us via the contact form, in writing by email, or by booking a demo, we store the information you provide yourself (such as name, email, phone number, company and topic) so that we can respond to your enquiry.
3.2 Our contact forms are sent via the third-party service Formspree, which processes the information on our behalf for the sole purpose of delivering your enquiry to us. See section 6 for more information about our data processors.
4. Visit our website
4.1 When you visit our website, our hosting and security provider (Cloudflare) may automatically log technical information, including IP address and browser type, for the purpose of operating, securing and troubleshooting the website. We do not currently use cookies or tools for statistics or targeted marketing on viducon.dk – see our cookie policy for further details.
5. Basis for processing and purpose
5.1 We collect and use personal data in connection with the functions and purposes described in this policy. We may also process your personal data for other purposes if we are entitled or obliged to do so under law. We only collect and use your personal data for the purpose of responding to your enquiry and providing you with the best possible service.
5.2 We obtain your ordinary contact details, such as name and company, in order to be able to serve you in relation to enquiries, services and products. We obtain your email address in order to be able to get in touch with you when relevant. We obtain your phone number in order to be able to contact you with questions and information related to your enquiry.
5.3 If you do not wish to provide the personal data required to submit an enquiry, we unfortunately have no way of engaging in a dialogue with you.
5.4 Your information will be deleted no later than 5 years after the enquiry has been concluded, unless we are required to retain it longer under applicable law.
6. Other recipients of personal data
6.1 Personal data may be disclosed to external partners who process the data on our behalf (data processors). For example, we use Formspree to receive and forward enquiries from our contact forms, and our hosting provider for the technical operation of the website. These companies process personal data solely on our instructions, and where relevant, we have entered into data processing agreements with our data processors.
6.2 We do not disclose your personal data to other third parties, unless required by law or you have given your consent to do so.
6.3 Some of our partners, including Formspree, are located outside the EU/EEA. In such cases, we ensure that a valid transfer mechanism is in place, for example through standard contractual clauses or equivalent safeguards.
7. Your rights
7.1 As the data subject, you have a number of rights, which we must ensure are fulfilled at all times. For personal data that Viducon ApS has registered about you, you have the right at any time to request the following:
– To have your personal data disclosed to you, free of charge, in accordance with applicable law.
– To have your personal data deleted or corrected, provided that we are not obliged to retain it in accordance with applicable law or other obligations to which we are subject.
– To request that your personal data be disclosed to you in an electronic format.
7.2 You can request the withdrawal of any previously given consent at any time.
7.3 In order to exercise your rights, you will be asked to confirm your identity, to ensure that only you have access to review or correct your data. You also have the right to object to the processing of your personal data, and you have the right to lodge a complaint with a data protection authority.
